Summary:
We are seeking a highly organized and detail-oriented Office Administrator with experience in Accounts Payable and Accounts Receivables to join our team.
The Office Administrator will be responsible for daily administrative operations, managing office supplies, coordinating schedules, and providing support to staff members.
The ideal candidate will have strong administrative skills, excellent communication abilities, and the ability to multitask effectively.
Duties:
- Bookkeeping, bank reconciliation, weekly payroll, employee benefits and payables.
- Human Resources - Annual renewals - business license, contractor's license, general and workers' compensation insurance.
- Opening jobs, includes assigning job #, preliminary notices, open supplier accounts, obtaining contract signatures, create job scope files, updating and distributing of jobs.
- Closing jobs, includes close out of jobs on the job chart, preparation, scanning and distribution of close out reports.
- Contract, change orders and T&M billings, and maintaining Excel billing spreadsheets - Assist President, Vice President and Project Manager as needed.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
